Use of facilities on campus should always be reserved, even if you just want to set up your own card table in a plaza or have a picnic in Aldrich Park, after all, you certainly don't want the sprinklers to go on in the midst of your activity! When you are ready to reserve a UCI facility, please keep the following in mind:
1. A maximum of four club members are authorized to reserve
campus facilities and equipment, and their names and signatures
must be on file with the Office of the Dean of Students. The person
making the reservations should be well informed as to the activity
and must be planning to attend the program. Special events will

2. Most reservations for campus conference rooms, classrooms, plazas, Aldrich Park, and Ring Road are made through UCI Scheduling & Conference Services located in the Humanities Trailer Complex.. To reserve weekly meeting space for an entire quarter, a drawing is held. Look for notices in your club mailbox after 5th week of the previous quarter. (949) 824-5252.

4. While facilities on the campus at large are generally free to registered student organizations when used during regular operating hours, special set-ups and equipment may necessitate a labor charge. Be sure to communicate if you want lecture style, conference style, aisles, table for panelists, or no tables and chairs at all. If you need early access to the facility, communicate that as well.
5. Media equipment, stages, additional trash cans, easels, podiums, etc. can also be ordered at the time of your reservation. Inquire as to rental, delivery and possible set-up charges.
6. Food Permits are free and are issued by Environmental Health & Saftety, whether perishable food is being served, sold, or catered.
7. If you expect more than 100 attendees, or many from off campus, you will need to plan for security and special parking accommodations. Be prepared for those costs, too!
8. If you decide to cancel or postpone your meeting or activity, be sure to also cancel the reservation. Failure to do so may result in forfeiture of future privileges.
9. If it's a big program, confirm all details with the reservation office two or three days prior to your event.
